Do we still need backup if everything is in Microsoft 365?

Yes. Microsoft operates a shared responsibility model: they keep the service running, you are responsible for your data. Native retention in Exchange, SharePoint, OneDrive and Teams is limited and was never designed as a backup. A dedicated Microsoft 365 backup gives you long-term, immutable copies of mailboxes, sites, OneDrive accounts and Teams chats that you can restore granularly - protecting against accidental deletion, retention gaps, ransomware and malicious insiders.

Yes, and that is usually the right approach. What is disaster recovery and how is it different from a backup?
Backup is a copy of your data. Disaster recovery is the plan, technology and process that gets your business back up and running after an incident - which usually involves backups, but also covers replication, failover, communications, decision-making and recovery testing. A modern DR programme defines how quickly you need to recover (RTO), how much data you can afford to lose (RPO), and proves it with regular drills.
What are realistic RTO and RPO targets for an SMB in 2026?
For most business-critical systems, an RTO of 1 to 4 hours and an RPO of 15 minutes to 1 hour is achievable with Azure Site Recovery or equivalent replication. Less critical systems can run with an RTO of 24 hours and an RPO of 24 hours from daily backups. The right targets depend on the cost of downtime to your business - we work through that with you during the DR plan stage rather than guessing.
Why do we need a third-party backup for Microsoft 365?
Microsoft operates a shared responsibility model - they protect the service, you protect your data. Native retention in Exchange, SharePoint, OneDrive and Teams is limited (typically 30 to 93 days, sometimes longer with retention policies) and is not a backup. A third-party Microsoft 365 backup gives you long-term, immutable copies you can restore granularly - essential for ransomware recovery, accidental deletion and compliance with GDPR data integrity requirements.
How does immutable backup protect us from ransomware?
Immutable backups cannot be modified or deleted for a defined retention period, even by an administrator with full credentials. Combined with an air-gapped copy - logically or physically separated from your production network - this means attackers who compromise your environment cannot also delete the only thing that lets you recover. It is now the baseline expectation for cyber insurance, NCSC guidance and ISO 27001 Annex A.5.29 / A.5.30.
How often should we test our disaster recovery plan?
At minimum, a tabletop exercise every six months and a live failover test once a year. Higher-risk environments - financial services, regulated industries, ecommerce - benefit from quarterly drills. The NCSC and ISO 22301 both treat untested plans as incomplete, and most cyber insurers now ask for evidence of testing. Aztech runs the drills as part of our ongoing DR service and provides the evidence pack afterwards.
